Part-Time Operations Assistant

Hybrid (San Francisco Bay Area)

Part-Time (10-15 hours per week, with opportunity for growth)

OPPORTUNITY

Center for Food Safety (CFS), one of the nation's top food and environmental advocacy nonprofits, seeks a part-time operations assistant to provide operations and fundraising support. The Operations Assistant will work roughly 10-15 hours per week on average, with opportunity for further growth if desired. The position will report directly to the executive team of CFS, and will work closely with vendors, contractors, and other staff members. The Operations Assistant can work remotely with occasional in-person work in the East Bay.

ABOUT THE POSITION

CFS is a small team with a big vision, so the Operations Assistant will have the opportunity to contribute in a variety of areas of CFS's work. The main responsibilities include:

Office and HR Administration

  • Monitor and maintain external-facing emails for executive and development teams;
  • Monitor and update payroll system as needed;
  • Monitor and update office-related templates and documents as needed;
  • Assist with communications and contracting with vendors and contractors;
  • Maintain and organize corporate files;
  • Work with executive team to maintain donor database/files and assist with tracking, acknowledgments and reports as needed;
  • Work with executive team to organize board meetings and distribute materials as needed;
  • Work with team and accountant in preparing budgets and reports and maintain accounts payables and receivables;
  • Local travel (deliveries and pickups)

Donor and Fundraising Support

  • Provide support to the executive team on donor relations and time management, including correspondence, and scheduling meetings, phone calls, travel arrangements;
  • Update and maintain grant application calendar and support on grant submissions as needed;
  • Provide event and outreach support for fundraising and donor-relations event as needed, including event planning, event supply pick-ups and delivery, donor and donation tracking and follow-up.

Desired Qualifications and Skills:

  • Bachelor's degree in business administration, communications, or a related field
  • 1-5 years of work experience in an administrative/executive assistant or office manager role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Proficiency in online databases and programs such as Google Drive, Microsoft Office programs, email programs, Wordpress, and Dropbox
  • Excellent written and oral communication skills
  • Ability to work well with others, including staff, board, consultants and contractors
  • Interest or a background in food and agriculture issues is a plus but not required

Compensation and Benefits

CFS offers a competitive compensation package and a flexible and hybrid work environment/schedule. Salary range for this part-time position is $1,200 to $2,000, depending on experience.
